1. Who we are

Toolzees is a free online-tools website available at toolzees.com and operated by Dave. In this Privacy Policy, “Toolzees,” “we,” “us,” and “our” refer to the operator of the website.

2. Scope of this policy

This policy explains how Toolzees handles personal information when you visit the website, use a tool, contact us, or interact with advertising and consent controls. It applies to the Toolzees website and its tools. It does not govern websites, services, or applications operated independently by third parties.

3. The short version

  • Most tools run entirely in your browser, so your tool input is not sent to Toolzees.
  • The Office to PDF tool temporarily uploads the document for secure server-side conversion and then deletes the working files.
  • Toolzees has no paid membership, subscription, or checkout. The optional Toolzees Assistant may use a configured conversational-AI provider when that feature is enabled.
  • We do not sell personal information for money.
  • Advertising and consent partners may use cookies or similar technologies when advertising is enabled and permitted by your choices and applicable law.
  • Cloudflare and our hosting infrastructure process technical information to deliver and protect the website.

4. Information processed when you use Toolzees

4.1 Browser-based tools

Most Toolzees tools process information locally in your browser. Depending on the tool, this may include text, images, PDFs, spreadsheets, code, URLs, numbers, dates, colours, or other content you choose to enter. For these browser-based tools:

  • the input is processed on your device;
  • the input is not uploaded to Toolzees;
  • the result remains in your browser unless you copy or download it; and
  • closing or refreshing the page normally clears the working data.

The Online Notepad tool is an exception to the last point: it can save the note in your browser’s local storage so it remains available on the same browser and device. Toolzees cannot read that note from the server. You can remove it by clearing the note or your browser’s site data.

Some advanced browser tools, including HEIC to JPG and Video to MP3, download open-source conversion code from a public content-delivery network when you use the tool. The selected image or video remains on your device and is processed locally in the browser. The content-delivery provider may receive ordinary network information such as your IP address, browser details, requested library file, and request time.

4.2 Office to PDF

The Office to PDF tool requires temporary server-side processing. When you use it, the selected Office or OpenDocument file is uploaded to a private directory outside the public website. The file is converted by LibreOffice through a restricted operating-system account, the resulting PDF is returned to your browser, and the job directory is deleted after the response.

If a conversion is interrupted or fails before normal cleanup, abandoned job directories are automatically removed when they are more than approximately two hours old. Conversion diagnostics may record a random job reference, file format, exit code, processing time, and technical error message. Diagnostic records are used to fix failures and protect the service; they are not intended to contain the document itself.

Please do not upload documents containing information you are not authorised to process. Avoid uploading highly sensitive information unless the conversion is necessary and you accept the temporary server processing described above.

4.3 Toolzees Assistant

The Toolzees Assistant helps visitors find tools and answers questions about the website. Questions typed into the assistant are sent to Toolzees so the server can search the published tool and page index, apply abuse-prevention limits, and return relevant links.

When conversational AI is disabled, the assistant operates as a site-search and FAQ service. When the site operator enables a configured OpenAI or Anthropic connection, the question and limited relevant Toolzees page or tool context may be sent to the selected provider to generate the reply. Do not enter confidential, highly sensitive, or unnecessary personal information into the assistant. Provider processing is subject to that provider’s own privacy terms.

The assistant may use an IP-derived rate-limit key and short-lived technical records to prevent abuse. Toolzees does not require a visitor account to use the assistant.

4.4 Information you send to us

If you email Toolzees, we may receive your name, email address, message, attachments, and any other information you choose to provide. We use it to answer your request, investigate a reported problem, and maintain reasonable business records.

4.5 Technical and security information

Like most websites, Toolzees, its hosting provider, and Cloudflare may process technical information when a request reaches the website. This can include:

  • IP address and approximate network location;
  • date and time of the request;
  • requested page or file;
  • referring page;
  • browser, device, and operating-system information;
  • response status and performance information; and
  • security signals used to detect bots, abuse, attacks, or unusual traffic.

This information is used to operate, secure, troubleshoot, and improve the website.

5. Cookies, local storage, and similar technologies

5.1 Essential website storage

Toolzees uses browser local storage to remember your light or dark appearance preference. The Online Notepad may also use local storage to save your note on your own device. These items are not advertising cookies and are not sent to Toolzees as tool content.

WordPress may set essential cookies for administrators or other authorised users who sign in to manage the website. Regular visitors do not need an account to use the tools.

5.2 Cloudflare

Toolzees uses Cloudflare for content delivery, performance, availability, and security. Cloudflare may set strictly necessary cookies or process technical identifiers to distinguish legitimate users from malicious or automated traffic.

5.3 Advertising and consent management

Toolzees may display advertising supplied through Actirise, Sparteo, and their advertising partners. When advertising is enabled, these providers may process cookie identifiers, IP address, browser and device information, page activity, approximate location, ad interactions, and consent choices to deliver, limit, measure, or personalise advertising.

Where consent is legally required, non-essential advertising technologies should not be activated until you make a choice through the consent-management platform. You can use the consent banner or privacy controls to accept, reject, or change your choices. Your browser can also block or delete cookies. Blocking some technologies may affect advertising but should not prevent access to Toolzees tools.

Toolzees does not sell personal information for money. Certain privacy laws may define personalised advertising disclosures as a “sale,” “sharing,” or targeted advertising even when no money is paid for the data. Where those laws apply, you may opt out through the available privacy controls. Global Privacy Control signals may also be recognised where supported by the consent and advertising providers.

6. Purposes and legal bases

Depending on your location and the applicable law, Toolzees relies on one or more of the following grounds:

  • Providing a service you request: for example, receiving and converting a document through Office to PDF or replying to your email.
  • Legitimate interests: operating the website, maintaining security, preventing abuse, diagnosing errors, improving reliability, and understanding aggregate service performance.
  • Consent: using non-essential cookies or similar technologies for personalised advertising where consent is required.
  • Legal obligations: complying with valid legal requests, recordkeeping duties, and applicable privacy or security laws.

7. When information is shared

Toolzees may share or permit processing of information only as reasonably necessary for the following purposes:

  • Hosting and infrastructure providers that store and deliver the website.
  • Cloudflare for content delivery, network security, bot management, and availability.
  • Actirise, Sparteo, consent-management providers, and advertising partners when advertising is enabled and consistent with your consent choices.
  • Email providers when you contact us.
  • Public content-delivery networks that deliver open-source browser libraries required by selected local conversion tools; your selected media file is not sent with the library request.
  • OpenAI or Anthropic only when conversational AI is enabled for the Toolzees Assistant, to generate a response from the question and limited relevant site context.
  • Professional advisers or authorities where reasonably necessary to protect rights, investigate abuse, comply with law, or respond to a valid legal process.

Toolzees does not operate a paid membership programme, Stripe checkout, or PayPal subscription system. Conversational AI, when enabled for the Toolzees Assistant, is used only for assistant replies and not as a paid tool tier.

8. Data retention

  • Browser-tool input: not received by Toolzees.
  • Online Notepad data: retained in your browser until you delete it or clear site data.
  • Office conversion files: deleted after the request completes; abandoned jobs are automatically removed after approximately two hours.
  • Office diagnostic information: retained only as long as reasonably necessary for troubleshooting, security, and service maintenance, and normally rotated or deleted within 30 days unless a longer period is needed to investigate a specific incident.
  • Assistant questions and rate limits: processed to answer the request and prevent abuse. Toolzees may retain limited technical logs for security and troubleshooting; an enabled conversational-AI provider handles submitted content under its own retention and privacy terms.
  • Web and security logs: retained according to operational and security needs and the settings of our hosting and security providers.
  • Email correspondence: retained for as long as reasonably necessary to answer the request, maintain records, or resolve a dispute.
  • Consent records: retained by the consent platform for the period needed to demonstrate and honour your choices.

9. International processing

Toolzees and its service providers may process information in countries other than the country where you live. Privacy laws may differ between countries. Where required, providers may rely on adequacy decisions, contractual safeguards, or other legally recognised transfer mechanisms.

10. Security

Toolzees uses reasonable technical and organisational measures designed to protect the website and the limited information it processes. Measures include HTTPS, Cloudflare security, restricted server permissions, private Office-conversion directories, file-size and format limits, rate limiting, and automatic job cleanup. No internet service can guarantee absolute security, so you should avoid submitting information that is unnecessary for the tool you are using.

11. Your privacy rights

Depending on where you live, you may have rights to:

  • request confirmation of whether personal information about you is processed;
  • access or receive a copy of that information;
  • correct inaccurate or incomplete information;
  • request deletion;
  • restrict or object to certain processing;
  • receive information in a portable format where applicable;
  • withdraw consent without affecting earlier lawful processing;
  • opt out of sale, sharing, targeted advertising, or certain profiling where applicable; and
  • complain to the relevant data-protection authority.

Residents of Mauritius may have rights under the Data Protection Act 2017. Individuals in the European Economic Area or United Kingdom may have rights under the GDPR or UK GDPR. California residents may have rights under the CCPA as amended by the CPRA where the law applies. Toolzees will not discriminate against you for exercising an applicable privacy right.

To make a request, email [email protected]. We may need enough information to verify that the request relates to you. Because most tool input never reaches our server, Toolzees usually cannot retrieve browser-processed content.

12. Children’s privacy

Toolzees is a general-audience utility website and is not designed to collect personal information from children. We do not knowingly collect personal information from children under 13, or a higher minimum age where local law requires it. A parent or guardian who believes a child has provided personal information may contact us to request its deletion.

13. Automated decision-making

Toolzees does not use personal information to make decisions that produce legal or similarly significant effects about individuals.

14. External links

Some tools may generate links, embed code, or output intended for third-party services. Toolzees may also link to external websites. We are not responsible for how those third parties collect or use information after you visit or interact with them. Review the third party’s privacy information before submitting personal data.

15. Changes to this policy

We may update this Privacy Policy when Toolzees features, service providers, or legal requirements change. The “Last updated” date will be revised when a material change is made. The current version will remain available on this page.
